On-site Agency : Havas Life Job Description Summary : Admin Executive will be required to ensure the smooth functioning of the day-to-day Admin operations which will include Documentation, Hotel/Ticket booking, Visa Formalities, Meeting room booking, Client visit, Lunch/Dinner arrangement clients, Inventories, Expense for senior leaders, id card issuance, database maintenance, Documents/Device courier sent/receive & file keeping. Job Description : Job Role:

  • Joining Formalities such as Registration of face biometric, ID card designing/printing and activation, Salary Account Opening and preparation of Welcome Kit.
  • Maintaining the employee database and required documents.
  • Keeping check on CEO’s cabin for regular maintenance.
  • Checking all daily expenses vouchers & submission to the Finance Team.
  • Exit Formalities such as: Getting the handover sheet filled and sharing the same with the Finance team for Full and Final settlement.
  • Managing Bookings such as ticket & hotel bookings and look into Visa formalities of Seniors for Foreign Tours including arrangement for Foreign Exchange & cab booking.
  • Checking travelling expenses of vouchers of employees and pass them to the Finance Team.
  • Maintaining courier details and courier bills.
  • Responsible for inward and outward of documents and laptop, letter, and Couriers and courier to finance team.
  • Arranging for food and other items whenever there is an in - house event/Client Meetings. Coordinating with other Admin Executives for management of the event.
Additional Task:
  • Sharing the addition/deletion file for insurance (GMC/GPA/GTL) every month for insurance.
  • Preparation of experience & relieving letter for employees who have exited.
  • Sharing new joiner details with the PF Officer
  • Townhall certificate printing & sharing (in coordination with Studio team)
  • Snacks ordering for Townhall & Birthday cakes.
  • Maintain database for photos/videos of HLS events.
  • Stock keeping of Stationary & New joinees welcome kit.
  • Follow-up of exited employees PF queries with PF consultant
  • Bar-code activity for office assets.
  • Assisting HR team on additional tasks.
